Understanding Sign-Off in the Improvement Workflow

What is Sign-Off?

Sign-off is the verification stage where an improvement is confirmed as completed. It serves as a formal agreement that the improvement meets requirements.

Workflow Stages

  1. Creation → becomes a “suggestion”
  2. Approval → becomes “in progress”
  3. Completion → marked for “sign-off” (if required)
  4. Sign-off → becomes “completed”

At any point, improvements can be:

  • Rejected (not required)
  • Placed on hold (postponed)

Using Sign-Off

Admin, Power Users and Approvers Only

To request sign-off:

  1. Open an in-progress improvement
  2. Click Actions
  3. Select Request Sign Off
  4. Choose one or more approvers
    • Multiple approvers require unanimous sign-off
  5. Add optional completion notes (will be emailed to approvers)

Important Notes

  • You’ll receive notifications as each person signs off
  • The improvement automatically completes after all approvals
  • You can modify approvers at any time without resetting existing approvals
  • Canceling sign-off restarts the entire process

Making Sign-Off Optional

If you prefer to bypass sign-off, grant all users sufficient permissions to self-approve improvements.
